
INTERNAL AND EXTERNAL VACANCY: EXECUTIVE ASSISTANT, SANPC REFINERY, DURBAN
CEF is a
Schedule 2 state owned diversified energy company reporting to the Department
of Mineral & Petroleum Resources. The Mandate of CEF is to contribute to
the security of energy supply of South Africa and the Region through
exploration, acquisition, development, marketing and strategic partnership. It
is derived from the CEF Act (No 38 of 1977) and the Ministerial directives
issued thereafter.
JOB PURPOSE:
The Executive Assistant is responsible for
overseeing the daily operations of the office, ensuring a productive and
efficient work environment. This role includes providing executive support to
senior refinery management and coordinating key Shareholder Initiatives and
projects to align with Group objectives.
REQUIRED
MINIMUM QUALIFICATIONS AND EXPERIENCE:
- Matric
and Diploma (NQF6) in Office Administration/Business
Administration or equivalent qualification.
- A minimum of 3 to 5 years in an Office Administration/Business
Administration or similar role.
- Bachelor’s degree (NQF 7) in Office Administration/Business
Administration or equivalent qualification will serve as an added advantage.
DESIRED ADDITIONAL SKILLS/ COMPETENCIES:
- Strong understanding of corporate policies and
procedures related to travel and expense claims.
- Project management and problem-solving skills.
- Proficient business writing and communication
skills
- Evaluation and multi-tasking skills

KEY PERFORMANCE INDICATORS:
Office operations management
- Oversee
daily office functions, ensuring a smooth and efficient workflow.
- Manage office supplies,
equipment, and facilities to maintain a professional environment.
Executive support
- Provide high-level administrative support to executives, including
managing their calendars, scheduling meetings, and arranging travel.
- Prepare and organize materials for executive meetings, including
agendas, presentations, and reports.
Project Coordination
- Coordinate
and oversee projects from initiation to completion, ensuring alignment with
organizational goals and deadlines.
- Liaise with various departments
to facilitate communication and collaboration on projects.
Communication management
- Serve as the primary point of contact for internal and external
communications on behalf of the team and executive.
- Draft correspondence, reports, and presentations for executive review,
ensuring professionalism and clarity.
Budget and Financial Management
- Assist in managing the office budget, monitoring expenses, and ensuring
compliance with financial policies.
Reporting
- Generate reports on office activities, project statuses, and executive
performance metrics.
- Conduct research and analysis to support decision-making processes for
senior management.
