CEF is a
Schedule 2 state owned diversified energy company reporting to the Department
of Mineral & Petroleum Resources. The Mandate of CEF is to contribute to
the security of energy supply of South Africa and the Region through
exploration, acquisition, development, marketing and strategic partnership. It
is derived from the CEF Act (No 38 of 1977) and the Ministerial directives
issued thereafter.
JOB PURPOSE:
To provide routine administrative and office coordination support to the
Office of the GCEO through the execution of defined administrative processes,
record-keeping, scheduling and logistical support activities, ensuring
efficient office operations, confidentiality of information, and compliance
with organizational procedures.
REQUIRED
MINIMUM QUALIFICATIONS AND EXPERIENCE:
- National Certificate
(NQF 5) in Office Administration, Business Administration or equivalent is
required.
- A minimum of 1-2 years as administrator or similar role is required
- National
Diploma (NQF 6) in Office Administration, Business Administration or equivalent
will serve as an added advantage.
DESIRED ADDITIONAL SKILLS/ COMPETENCIES:
- Basic knowledge of office administration and
coordination procedures, including document and records management principles,
organisational structure, and reporting lines
- Understanding of confidentiality and
information-handling protocols
- Proficiency in standard office systems and
tools, including Microsoft Office Suite (Word, Excel, Outlook, PowerPoint,
Microsoft Project) and email/document management systems
- Excellent written, verbal, and professional

KEY PERFORMANCE INDICATORS:
Administrative
Office Support
- Prepare,
format and file routine correspondence, documents and records.
- Capture
and update administrative information accurately in approved systems.
- Maintain
orderly electronic and physical filing systems in line with procedures.
- Follow
established office processes and instructions for administrative tasks.
Scheduling
& Logistics Coordination
- Coordinate calendars, meetings and appointments as
instructed.
- Arrange travel, accommodation and logistics in line
with approved processes.
- Prepare meeting packs, agendas and supporting
documentation when required.
- Track scheduled activities and communicate changes
timeously.
- Perform scheduling & logistics coordination for
the CEO in the absence of the CEO’s Executive PA
Records & Document Management
- Classify, store and maintain records in
accordance with records management guidelines.
- Ensure documents are correctly indexed,
archived and retrievable.
- Maintain version control and update records as
required.
- Support records audits and information
requests.
Communication Support
- Receive, screen and route correspondence,
calls and enquiries appropriately.
- Draft routine responses and acknowledgements
as instructed.
- Escalate urgent or sensitive matters in line
with office protocols.
- Liaise with internal stakeholders on
administrative matters.
Confidentiality & Information Handling
- Handle sensitive documents and information in
line with confidentiality and security protocols.
- Restrict access to confidential information to
authorized parties only.
- Apply discretion when dealing with
executive-level information and discussions.
- Comply with information management and data
protection requirements.
Reporting and Audit Support
- Compile routine administrative reports and
summaries as required.
- Maintain accurate administrative records and
supporting documentation.
- Provide documentation and information to support
audits and governance reviews.
- Follow up on administrative actions arising from reviews or audits.
